Persons in charge of the register
Vihreä Pourusmäki ry stores personal data as follows

  •  Membership register
  •  newsletter e-mail list, and
  •  lists of course participants.

Purpose of processing personal data and use of the register 
The persons registered in the register of members and subscribers to the members' e-mail list are those who have been approved as members by the board of Vihreä Pourusmäki ry. The purpose of the processing of personal data is the obligation to maintain a list of members and the maintenance of membership fees and contact details for the association's activities, as stipulated in the Associations Act (503/1989).

In addition, Vihreä Pourusmäki ry maintains general e-mail lists, which can be subscribed to from the association's various websites. The e-mail lists are used to provide information about the association's activities and about articles, studies, publications and events relating to permaculture.

The personal data of course registrants are stored on separate lists for each course.

Data content of the registers 
The register of members contains the information that the members themselves have made available to the association. The following information is collected when a member joins the association:

  •  first name and surname (mandatory information)
  •  e-mail address (mandatory)
  •  address and municipality of residence (mandatory )
  •  telephone number (optional)

The register also maintains information on membership fees paid.

The first name, surname and e-mail address of the subscriber are recorded in the general e-mail lists.

For course enrolments, the following information is recorded

  •  first name and surname (mandatory information)
  •  e-mail address (mandatory)
  •  address (mandatory)
  •  telephone number (optional)

Data retention period
Personal data stored in the electronic register of members will be kept for the duration of the membership. The association's archives will keep records of accepted members.

The subscription to the e-mail lists remains valid until the person indicates that he/she wishes to be removed from the list.

The data of course participants are kept for the duration of the course year. In some accounting records, personal data may be retained for the duration of the statutory retention period for accounting records.
 
Regular data sources 
Membership register: data is collected directly from prospective members when they apply for membership. Members have the possibility to update their data themselves by contacting the board. The register contains only the information provided by the user himself/herself.

The general e-mail lists contain only the e-mail address and name provided by the individual.

Courses: data is collected directly from course enrolment. The register contains only the information provided by the user.
 
Regular data disclosures and transfers of data outside the EU or the European Economic Area 
No data from the register of members, e-mail list or course registers will be disclosed for commercial purposes or to third parties. There is no regular transfer of data outside the EU or EEA.

Register security
Data is transferred over an SSL-secured connection.

Access to the membership register, email list and course registers is restricted to members of the Vihreä Pourusmäki ry's board who need the information for their tasks. These persons are bound by confidentiality. The information in the registers is stored in a secure manner.

The registers do not contain sensitive data.

Automated decision-making
No automated individual decisions (Article 22 of the EU GDPR) are taken.
 
Rights of the data subject
The data subject has the right to inspect the data concerning him or her. The request for inspection is addressed either in writing or by e-mail to the board.

The data subject has the right to request the rectification of inaccurate data. The data will be corrected by the registry administrator in cooperation with the operator who provided the incorrect information. The request for correction shall be addressed either in writing or by e-mail to the board.
